1. Who we are
BFDLife Insurance (“BFDLife”, “we”, “us”) publishes this website at bfdwinery.com. For privacy questions we use the mailbox hello@bfdwinery.com with the subject line “Privacy”. That mailbox is the contact point for access requests, corrections, and complaints about how an enquiry was handled.
When this notice says “personal information”, it means information that identifies you or could reasonably identify you, including a name, an email address, a telephone number you choose to type into a form, and details about a risk you describe (a home, a vehicle, a trip, a household, or a business).
2. What this notice covers
This notice covers personal information collected through bfdwinery.com, including the quote form, the contact form, the live-chat panel, the question form, the advisor enquiry, the subscribe form, and the unsubscribe form. It also covers information you send by email to hello@bfdwinery.com or claims@bfdwinery.com.
These forms run in your browser. Pressing the button checks that the fields look complete and then shows a confirmation on the page. The confirmation text is a message to you that the check succeeded. It is not, by itself, evidence that a particular server has stored a file. If you are using a copy of the site that has no delivery service connected, keep your own note of what you wrote and also email hello@bfdwinery.com so an advisor actually receives it. We tell you this so the confirmation cannot be mistaken for a claim number or a policy.
If you later hold a policy, additional privacy terms may appear in your schedule, for example about medical reports or credit references. Those terms add to this notice for that contract. They do not shrink the rights the law gives you.
3. Information you give us
Depending on the form, you may give us:
- Identity and contact details, such as your name, email address, and a phone number you want us to use.
- The topic of your enquiry, such as life, health, home, motor, travel, family, property, or business cover, or a request to become an advisor.
- A free-text description of what you want to protect, a question, or a reason for leaving the mailing list.
- A confirmation tick that you want a reply or that you want marketing mail to stop.
Please do not send special categories of information unless we ask for them in a secure follow-up. Special categories include detailed health records, government identity numbers, full financial-account numbers, and information about children. A short note such as “I would like health cover for myself” is enough to start a conversation. We will ask only for what the quotation or claim actually needs, and we will explain why.
If you give us information about another adult (a partner, a driver, a director, or a traveller), you must have a proper reason and, where the law requires it, their knowledge or consent. Do not submit a child’s personal story in a public form. Ask us for a private channel first.
Accuracy
We rely on what you type. If your email address is wrong, we cannot reply, and the thank-you message will still appear because the browser only checks the shape of the address. Please read it back before you submit.
4. Information collected automatically
Like most websites, the hosting environment may record technical logs such as browser type, coarse device information, the page you opened, the time of the visit, and an internet protocol address. We use those logs to keep the site secure, to understand which guides are useful, and to diagnose errors.
We do not require you to create an account to read our pages. We do not ask this static website to build a marketing profile from your browsing of public pages. If we later add an optional analytics tool, we will describe it in an updated version of this notice and, where the law requires a choice, we will ask before non-essential cookies run.
Email programmes may tell us, in aggregate, whether a marketing message was delivered or bounced. We use that to stop writing to dead addresses. We do not treat an unread email as a lack of interest that we sell to anyone else.
5. Why we use information
We use personal information for these purposes:
- To answer the enquiry you sent and to prepare a quotation or an explanation of cover.
- To decide whether a risk fits the kinds of insurance we offer, including fraud and sanctions checks where the law expects them.
- To set up, administer, renew, change, or end a policy if you choose to buy one.
- To handle claims, including speaking with repairers, clinicians, or travel assistants who need the facts to help you.
- To send service messages you need in order to act on a quote, a payment, or a claim.
- To send marketing mail only when you have asked for it or when the law allows a soft follow-up to an enquiry you started, and to stop that mail when you unsubscribe.
- To improve our guides, train our advisors on the kinds of questions people ask, and keep records that regulators and auditors expect.
- To establish, exercise, or defend legal claims.
The legal bases we rely on, described without tying this notice to one statute’s vocabulary, are: taking steps at your request before a contract; performing a contract if you become a policyholder; meeting a legal duty; protecting your vital interests in an emergency claim; and our legitimate interest in running a careful insurance practice, balanced against your rights. Where a law says we need consent — especially for optional marketing or for a special category of data — we will ask for that consent separately and you may withdraw it.
We do not sell personal information. We do not rent enquiry lists. We do not use your claim story as an advertisement with your name attached unless you sign a separate, specific permission.
6. Quotes, policies, and claims
A quotation file may include the answers you gave, notes an advisor writes, and the illustration we send back. If you do not proceed, we still keep the file for a limited period so we can show what was said if you return, and so we can meet record-keeping duties.
A policy file is fuller. It can include the proposal, the schedule, payment references, complaints, and endorsements. Payment-card handling, if you later pay a contribution, is performed through a payment provider. We do not ask you to place a card number in the website forms described above.
A claim file can include photographs of damage, repair invoices, medical summaries that are relevant to the cover, and statements. We collect the minimum needed to decide the claim. A health-related claim is not a licence to read your entire medical history. We ask for the part that relates to the condition and the policy terms.
Automated tools may help us spot incomplete answers or duplicate enquiries. A decision to decline cover or to refuse a claim is reviewed by a person when you ask for a review, and you may challenge factual mistakes. The website’s browser checks (required fields, email shape, phone shape) are only format checks. They do not underwrite a risk.
7. Marketing, subscribe, and unsubscribe
The Subscribe page is how you ask for occasional notes about cover, claims preparation, and household protection. We ask for your name, email address, the topics you care about, and a tick confirming you want the mail. You may subscribe only for yourself.
The Unsubscribe page is how you ask us to stop marketing mail. Give the same email address you used to subscribe, choose a reason if you want to, and tick the confirmation. We treat that request as an instruction to suppress marketing to that address. It does not cancel an insurance policy, it does not close a claim, and it does not delete records we must keep. Service messages can continue.
If you receive a marketing email, it will also contain a way to unsubscribe. Using either path is enough. We aim to suppress the address promptly and, in any event, within the period applicable law allows. If a message was already queued, one further message may still arrive. You can ignore it.
We do not require you to create an account or to tell us why you are leaving. The reason field is optional and helps us write more useful notes for other readers. Do not include sensitive details in that box.
8. Cookies
This static website is built to be readable without non-essential cookies. A strictly necessary cookie or similar storage item may be used by your browser or by a host to remember a security check or a load-balancing choice. Those items are not used to advertise to you on other sites.
Your browser lets you block cookies. Blocking strictly necessary items can make a hosted form or a security check fail. Blocking non-essential items will not stop you from reading our guides.
Third-party sites opened from a share icon (for example a social network’s share page) set their own cookies once you are on their site. Their notices apply from that moment. Our notice applies again when you return.
9. Who we share information with
We share personal information only with people who need it for a purpose listed above, and only as far as they need it. Typical recipients are:
- Advisors and claims staff engaged by BFDLife, including people who work under a written confidentiality duty.
- Companies that host email or keep records for us, acting on our instructions.
- Reinsurers, loss adjusters, repair networks, medical professionals, and fraud-prevention services, when a quote or a claim requires them.
- Regulators, courts, and law-enforcement bodies when the law requires or permits the disclosure.
- A purchaser of our business, if one ever exists, under a duty to honour this notice.
We do not authorise those recipients to use your enquiry for their own marketing. If a repairer wants to offer you an unrelated product, that is their approach, not ours, and you can decline it.
Information may be processed in more than one place because email and hosting providers operate across regions. When that happens, we look for contractual protections and for providers who commit to handle information carefully. We do not use this notice to name a headquarters city, and we do not describe the company as based in any particular country here. If you want to know the safeguard that applies to a specific file, ask the privacy desk and we will explain it in the reply.
10. How long we keep information
We keep information only for as long as the purpose, the law, and a fair complaints window require.
- Unsuccessful quote enquiries: typically up to three years after our last contact, so we can revisit what was discussed and meet limitation periods for disputes about the quotation.
- Subscribe and unsubscribe records: for as long as you remain subscribed, and for a suppression log after you leave so we do not accidentally write to you again. The suppression log is kept for as long as we send marketing.
- Policy and claim records: for the life of the policy and for a period afterwards that matches insurance, tax, and limitation rules that apply to that contract. Some claim records, especially those involving injury, are kept longer than a simple property file.
- Technical logs: usually for a short security window, unless a log is needed to investigate abuse.
When the period ends, we delete the information or irreversibly de-identify it. Backups may linger for a further short cycle before they rotate. We do not use retired backups for marketing.
11. How we protect information
We limit access to enquiry and policy information to people with a work reason to see it. We expect those people to use unique credentials, to lock screens, and to avoid forwarding files to personal inboxes. Providers who host systems for us are chosen with security in mind and are bound by contract.
No method of email is perfectly safe. Messages can be mis-addressed or read on a shared device. Use a private inbox for insurance mail, and tell us promptly at hello@bfdwinery.com if you believe an enquiry was sent in error or a mailbox was accessed by someone else.
If we learn of a breach that is likely to put your information at serious risk, we will notify you and any authority the law names, in the way and within the time the law requires. We will not describe a minor, contained incident as more dramatic than it is, and we will not hide a serious one.
12. Your choices and requests
Subject to applicable law and to the exemptions insurance files sometimes need (for example, a claim that is still being investigated, or a disclosure that would reveal another person’s data), you may ask us to:
- Confirm whether we hold information about you and to provide a copy.
- Correct information that is inaccurate or incomplete.
- Delete information we no longer need, or restrict how we use it while a dispute is resolved.
- Receive a portable copy of information you provided, where the law gives that right and where the format is practical.
- Object to marketing, which you can also do yourself on the Unsubscribe page.
- Object to a use based on legitimate interest, so we can pause and weigh the request.
- Withdraw a consent you previously gave, without affecting a use that was already lawful.
- Complain to us and, if you remain unhappy, to the privacy authority that oversees the law applying to your file.
Write to hello@bfdwinery.com with the subject “Privacy request”. Tell us the email address you used on the form so we can find the right record, and tell us what you want. We may need to confirm you are the person the record is about before we release it. We will not ask you to prove your identity by sending a full identity document to a general inbox if a narrower check will do.
We aim to answer privacy requests within one month. If a request is complex or repetitive we will tell you why we need longer. We do not charge a fee unless the law allows a fee for a request that is manifestly unfounded or excessive.
We may decline a request in part where releasing the file would expose another customer, reveal fraud-detection methods, or break a legal hold. If we decline, we will explain the reason unless explaining it would cause the harm we are trying to prevent.
13. Children
This website is written for adults arranging cover. We do not knowingly collect personal information from children through our forms. Life and family products can of course protect children, but the contracting party should be the adult policyholder. If you believe a child sent a form, email hello@bfdwinery.com and we will delete the enquiry unless a parent or guardian asks us to keep it for a genuine quote.
Do not include a child’s full name, school, or medical detail in a website text box. An advisor can collect what a junior life benefit actually requires through a more suitable channel.
14. Links and changes
Our pages link to share tools and may mention independent repairers or clinicians as types of help. When you leave bfdwinery.com, this notice no longer applies. Read the other site’s notice before you submit personal information there.
We will update this notice when our practices change. The date at the top of the page shows the current version. If a change is significant and we have your email because you subscribed or you hold a policy, we will draw it to your attention. Continuing to use the site after the date of an update means you have the chance to read the new version. A policy already issued keeps the privacy promises that were part of that contract, and gains any new right this notice gives you where the law says a new right must apply.
15. How to reach our privacy desk
Email hello@bfdwinery.com with the subject “Privacy”. Include the address you want us to answer and a short description of the request. Our desk hours for reading mail are Monday to Saturday, 9:00 am to 5:30 pm, and the desk is closed on Sunday. A message sent outside those hours is read on the next open day.
Please use claims@bfdwinery.com only for an existing or intended claim, and hello@bfdwinery.com for privacy, quotes, subscriptions, and general questions. We will redirect a message if it arrives in the wrong box, but the right box is faster.
This notice is meant to be readable. If a sentence is unclear, ask us to explain it before you send sensitive information. We would rather answer a careful question than receive a document we did not need.
